Our Trust division in Clayton has an opening for a full time Administrative Assistant.
Trust Banking - Administrative Assistant - Overview
Provide overall administrative and technical support to Trust officers. Exercise independent judgment with respect to routine administrative duties.
Key Job Duties, Tasks and Responsibilities
· Gather forms and coordinate the set up of client’s Social Security and/or Pension payments.
· Prepare letter and forms to set up client distributions through the ACH system, follow up to ensure receipt of correct information, provide operations with necessary forms and documents, and make sure the payment is set up on the recurring system.
· Check Processing, which includes bill payment, research any problems with bills, set up and delete recurring items, changes on recurring items, send address change letters for bills, prepare voids/stop payments and have incoming checks deposited to account.
· Monitor outstanding check register on a regular basis.
· Coordinate and assemble correspondence/mailings with enclosures.
· Prepare wire transfer/internal transfer forms for administrator approval.
· Complete account closing checklist and prepare file for storage including finalize bills, remove recurring items, and discontinue direct deposits.
· Prepare reports of Administrative Review and Investment Review on a monthly basis to present to the Fiduciary committee along with the Opened Accounts and Closed Accounts Reports.
· Prepare items for filing and scanning.
· Coordinate payment of estimated taxes, request check and send to the IRS or state.
· Initiate and prepare responses to routine correspondence and verbal inquiries.
· Provide backup for administrator during vacation and/or absences.
· General research on unusual circumstances.
Knowledge, Skills and Abilities Required of a Successful Candidate
· Bachelor’s degree preferred
· Five or more years experience in trust administration
· Basic knowledge of fiduciary laws for personal and institutional accounts including Uniform Trust Code, Prudent Investor Rule, Uniform Principal and Income Act
· Ability to read and interpret custody agreements
· Ability to work independently
· Must be focused with strong attention to detail
