Position Description:
Moderate diversity in the type/number of assignments. Work requires general understanding of company policies, procedures and inter-departmental relationships. Coordinate schedules, generate correspondence, schedule meetings, and tracks projects. Handles confidential information and exercises judgment within boundaries specified by their manager. ESSENTIAL FUNCTIONS: The essential functions of this position may include one or some of the following: ? Answers inquiries and provides information or routes to appropriate personnel. Requires limited judgment in filing, processing and distributing moderately confidential information. ? Schedules meetings for staff and makes arrangements for conference rooms, may coordinate an agenda, type up meeting minutes. ? Creates correspondence, forms, reports, memos, and other documents. Generate spreadsheets, maintain databases, and manage administrative projects defining project organization and sequence. ? Performs transcription, editing, proofreading and creation of presentations and reports. ? Read, route, prioritize incoming mail, may respond to routine inquiries and attach appropriate files and reports. ? Verify departmental work assignments/deadlines are adhered to and track departmental data, hours, project progress, etc. ? Complies with and explains to others departmental policies, procedures, and processes. Provide suggestions to improve departmental policies, procedures and processes. ? Arrange travel schedule and reservations as needed. ? Prints, files, routes and copies moderately confidential correspondence and other records. ? May proofread reports, lists, and other information for accuracy. ? Order office supplies, review supplier invoices and maintain inventories. ? Greet and direct visitors. ? May serve as a back up to Executive Administrative Assistant or other administrative positions. ? Limited local travel. ? Other duties as assigned. TYPE OF SUPERVISION RECEIVED: General Supervision – work is assigned with intermittent review necessitating the use of independent judgment in choosing work methods and performing job duties without close review. SUPERVISORY RESPONSIBILITIES (Y/N): Yes May have some supervisory responsibilities or serve as a Team Leader with respect to other administrative personnel. BUDGET RESPONSIBILITIES (Y/N): No QUALIFICATIONS High School Diploma or G.E.D. Two years of administrative experience in an office environment is required or a combination of related education and training. Experience using word processing, spreadsheet, and database software is required. Presentation software experience preferred. Must be able to utilize a computer keyboard/mouse. Above average written and verbal communication skills and the ability to address all levels of staff and outside contacts is required. Knowledge of medical terminology preferred. Above average organizational skills, specifically the ability to prioritize projects, work relatively independently, manage multiple tasks and meet deadlines. PHYSICAL DEMANDS: Typical of an office setting. May need to move, lift, or carry objects weighing 1 to 5 pounds. WORK ENVIRONMENT: The work environment characteristics are those of a standard office setting involving cubicles and/or offices. SCHEDULE: Monday through Friday during typical day time business hours. Overtime is not required, but may be expected intermittently.
