Special Events/Education Support Representative
This position is split between two departments, Special Events and Education. As such, candidate must be able to work well with multiple managers. Candidate will work in partnership with Director of Special Events, Director of Education and Special Events Program Directors. This includes building relationships with Program Leaders, partner organizations, working with other WorldStrides departments to provide the best customer service and tour product possible. Candidate will also be required to process administrative detail and assist the Director of Special Events, Director of Education, and Program Directors in all aspects of program correspondence, coordination and growth; Professional Development and Discovery for Credit management; curriculum coordination; and other areas of administrative assistance. To function as a contributing member of both the Special Events and Education teams through open exchanges, assisting other team members as needed, and helping to build a solid partnership with the Director of Special Events, Director of Education, and Program Directors. Ultimately, to have the skills and knowledge to function as Program Directors in their absence, move all areas of responsibility forward without direct supervision, and provide excellent customer service. To serve in additional functions on an as-needed basis, possibly in other departments, during periods of non-travel to further the WorldStrides mission statement.
Qualifications
Two to three years experience working in an office environment handling multiple tasks. Some college is preferred. Excellent time management and organizational skills; ability to work on multiple tasks; strong attention to detail; interpersonal skills; positive, solution-oriented attitude. Good verbal skills, with a clear and professional telephone demeanor. Ability to work under pressure and meet deadlines in an office environment, with a willingness to expand time commitment when necessary. Ability to work independently as well as in a team atmosphere. Demonstrate initiative and eagerness to learn new skills to enhance job effectiveness. Strong working knowledge of MS Word, MS Excel, Power Point and Outlook. Strong general computer skills with ability to learn new programs such as Trip Desk, Maximizer, internet research, MyTrip, CLIC and other in-house programs.
Required to drive an automobile and be comfortable with airline travel. Must be able to travel out of state to visit customers and partner organizations to perform program related assignments as well as assist with needs in other divisions of the organization. Required to operate in a variety of public environments. Must be able to communicate verbally (through the use of the telephone), ability to visually proof documents and input data into a computer. Heavy lifting is required.
Essential Functions:
Train and work together with Director of Special Events, Director of Education, and Program Directors on systems for communication, file documentation, data input, and tracking program related correspondence and data. Contact with Program Leader, partner organizations, and partner organizations to assist with program coordination as directed by Program Directors. Preparation of tour materials to be sent to Program Leader, partner organizations, parents and students and other contacts. General itinerary preparation. Follow up within the office with operational aspects of the tour. Assist the Program Directors in following up with projects, other assignments. Perform year-end file turnover. Take initiative to seek answers to job related questions. Perform additional tasks on a part time basis during off-seasons as needed.
Additional Responsibilities:
1. Display support and commitment to the Director of Special Events, Director of Education and Program Directors.
2. Attend and contribute to team meetings.
3. Assist fellow team members as needed.
4. Additional responsibilities may be assigned.
Standard Department Member Responsibilities:
1. Maintain accurate and up-to-date documentation.
2. Foster communication within the department, with other departments and with management.
3. Maintain knowledge of company policies and procedures so as to serve as an effective staff member.
4. Support company policies and management decisions with a sense of urgency and professionalism.
5. Seek out and participate in internal and external programs that facilitate personal and professional growth.
6. Track days off; write and deliver self-performance appraisals to the Director of Special Events, Director of Education and Program Directors on an annual basis.
7. Identify and discuss personal and professional growth goals with the Director of Special Events, Director of Education and Program Directors.
8. On-site coordinating duties for a maximum of 6 nights are required. Additional days are optional at your discretion.
