An exciting, growing commercial real estate and property management company is looking for a front desk receptionist/administrative assistant. Located in San Jose. This position has tremendous growth potential for the right candidate. The position is open because the prior receptionist/administrative assistant has been promoted!
In this position you will greet visitors, ascertain nature of business and contact the appropriate staff member. Maintain files for vendors, properties and lease agreements. Coordinate activities to close out customer work orders. Manage vendor access requests for assigned portfolio. Prepare business correspondence. Answer telephone promptly and with high level of professionalism and transfer calls, give information as needed, and place outgoing calls as requested. Coordinate travel arrangements, meetings and events as needed. Sign for and notify staff when packages arrive. Post outgoing mail, sort and deliver incoming mail for staffers. Responsible for maintaining the overall appearance of the office - keeping it neat and professional at all times. Coordinate conference room schedule. Keep inventory of office supplies. Process accounts payable. Assist with any other projects as asked by staff members.
