SR. PAYROLL SPECIALIST
Northfield
Function: Responsible for the timely, accurate, and efficient processing of all company payrolls (including, weekly, biweekly, and monthly payrolls, special bonus and pay-for-performance payrolls, executive compensation and DPAR programs), payroll taxes, and related payroll information.
Major Job Activities/Duties:
Payroll
· Weekly, Biweekly, and monthly multi-state Payroll processing.
· Coordinate and provide information to support required audits with external sources.
· Provide information needed for general ledger reporting, labor costing, etc.
· Monthly reconciliation of payroll liability accounts and assists Accounting Manager with payroll bank reconciliation.
· Prepare journal entries as needed to ensure accurate posting to general ledger.
· Verify payroll for accuracy and record any required information.
· Administer executive compensation and deferred compensation programs.
· Coordinate all employee deductions from entry to reporting - i.e. 401(K) loans and contributions, life insurance, child support, garnishments, and voluntary deductions.
· Prepare and compile information required by law or requested by departments.
· Prepare information & process manual payroll checks, adjustments, voids, and ACH reversals.
· Answer employee questions regarding payroll issues.
· Maintain accuracy of vacation, personal leave balances, purchased vacation, holiday plans.
· Create and maintain reports on an ad hoc basis to provide to management.
· Compile and transmit tax liabilities for all payroll cycles, quarterly tax detail, and annual reporting to ensure all withholding is accurate and timely. Review and verify accuracy of all payroll tax returns.
· Prepare tax applications to set up withholding and unemployment accounts with new states and localities.
· Produce, verify, and reconcile W-2's to ensure all required information (benefits, moving expenses, imputed income, etc.) is accurate and reported correctly.
· Works with outside payroll tax service and IRS on any tax issues.
· Administrator of Payroll system (maintain Payroll information, recommend changes to payroll system/programs, involvement in system upgrades, and testing).
· Process special payroll runs (variable, Holiday Gift, Pay for Performance).
· Enter 401(k) fund changes/enrollments.
· Coordinate and verify year-end profit-sharing reports.
· Complete verification of employment requests for loan applications, child support cases, workers' comp claims, unemployment benefits.
· Maintain security and confidentiality of all information.
· New hire reporting to state agencies.
· Administer child support orders, garnishments, and federal and state tax levies, and communicate with agency/attorney.
· Transmit payroll bank files for ACH deposits and positive pay.
· Recommend policy, procedural, and process changes for process improvements.
· Maintain unemployment rates in BSI tax software.
· Create and maintain deduction codes and hour types to ensure proper taxation and general ledger reporting.
· Research and identify issues of varying complexity for internal and external customers, and provide a timely and effective resolution.
Time Record Keeping
· Create and Maintain master schedules.
· Create and maintain hour types and pay rates associated for special pay types.
· Assist with testing and upgrades.
· Resource for employee and manager questions.
· Develop training materials, and train managers and supervisors on use of TimeTrak/ClocTrak.
· Create reports for manager users.
· Maintains user profiles and password maintenance.
· Create master profiles, set-up users and employees, and maintain database for ADP Pay eXpert and ezLaborManager systems.
· Create and maintain Password Maintenance for TimeTrak.
Job Requirements: 2 year degree in business or accounting. General accounting education helpful, some CEBS and/or APA course work. 5+ years payroll experience including electronic data collection for payroll; multi-state payroll; in-house package system. Hand on experience with Lawson Software preferred. Ability to communicate effectively; ability to interpret company policy; manage confidential information; ability to operate a computer with fluency, including programming; ability to translate or analyze payroll and accounting reports/information, ability to work under hard deadlines, ability to handle multiple projects simultaneously.
