Office Manager

Office Manager Job Description: Assist Regional Sales Manager with administrative duties. Primarily answering phones and supporting sales team and management within the office.

Contract Auditing:
· 21 point audit covering all aspects of the contracts including verification of rates per various rate
tables depending on directory
· Interacting with sales reps to clear audit points
· Processing of contract to include extra copies, additional documents and paper organization
· Forward completed contracts to Production Office

Query Resolution:
· Pull Query reports daily and assist sales rep in clearing the queries
· First line of questioning between reps and Production and/or Corporate Office.
· Personally clear queries on accounts that the sales rep is no longer employed
· Special attention to commission blocking queries at commission cutoff
· Special attention to queries at book close

Payroll:
· Administer new hire paperwork
· Track Commission Plans for Reps (Guarantee vs Commission etc) communicate to
HR/Payroll/Commission Administrator
· Time Sheet Reporting to ADP
· Sales Rep Level Changes reported to HR/Payroll/Commission Administrator
· Termination of Sales Rep Paperwork
· Administer Performance Improvement Plans (PIPs)

Sales Reporting/Maintenance:
· Revenue Assignments – revenue is not handed out all at once, must be tracked throughout the
campaign
· Sales Tracking – used for in house sales contests
· Process cancellations
· Pipeline Sales Tracking – various sales reporting to account for sales not on Sold Report due to
pipeline.
· Create customer files, copies of contracts, maintain filing system for Sales office
· Print competitor leads prior to start of each canvass
· Weekly headcount report to HR

Sales Rep Support:
· Ongoing training of reps
· Answer variety of questions – payroll, expense reports, compensation, benefits, etc.
· Support for policy changes – roll out new policies, help to implement
· Assist reps with intranet usage for researching customer history, customer service, billing and
distribution inquiries.

Trade:
· Create trade contract files
· Track trade usage to report to Corporate Office
· Audit trade balances

General Office Duties:
· Answer phones for office staff
· Distribute mail and deliveries
· Office supplies
· Petty cash reporting
· Sales Meeting assistance and preparation as necessary
· Office machine maintenance
· Accounts Receivable / Accounts Payable
· General correspondence between Regional Sales Manager, Production and Corporate Offices and/or
Sales Reps.

Qualifications:
· 2 year minimum experience in Office Management or similar position.
· Experience in a sales organization highly preferred.
· Ability to work independently as well as within a team.
· High engergy, task-driven, positive attitude, and excellent communication skills required.
