Branch offices usually organize general administrative functions under the management of an Office Manager. This fosters efficiencies, provides organizational focus, and relieves the management staff from many time-consuming administrative matters. The Office Manager III is distinguished from lower levels of Office Manager in that the branch is large with several divisions, there is a broader range of administrative functions to manage and the incumbent is responsible for the full extent of reception, graphics, library, contracts, purchasing, security, facilities coordination, etc. Also, due to the size and complexity of administrative operations, the Office Manager directly supervises at least five additional staff.
RESPONSIBILITIES:
· Manages a broad range of administrative matters attendant to operations in branch
locations.
· Typically, these include reception, telephone, fax, copying equipment, purchasing,
receiving and storage, contracts, library, facilities coordination, security, graphics, and personnel actions, including the Affirmative Action Plan.
· Coordinates local policy and procedures with the appropriate corporate functional office to insure that full and complete procedures are in place covering all assigned functions.
· Executes other tasks of similar nature as assigned by management.
· Assures office is organized and supplied
· Issues and manages purchase order and check request process with KBC Cincinnati.
· Ensures office filing system is efficient in supporting personnel needs (contracts, confidentiality agreements, etc.)
· Serves as primary contact point with consumer call center (REACT center in Canada), trafficks call reports to appropriate personnel.
· Makes special travel arrangements (support Board of Directors’ and/or other offsite meetings).
Job Requirements:
· Five to seven years of related experience.
· Proficient in Microsoft Windows and Office software (Outlook, Word, Excel, PowerPoint).
REPORTING RELATIONSHIPS:
Usually reports to the senior manager in the branch location. Manages at least five subordinate personnel to assist with individual functional areas in the branch, such as security, purchasing, reception, etc.
