Overview: Provide overall support to the department of Continuing Education.
Essential Functions: Word process routine and confidential documents; answer, screen and direct phone calls; maintain files and databases; contact speakers and assist in negotiating contracts, coordinating programs and handling arrangements. Assist in the planning, layout, production and mailing of publications; maintain email mailing list; process continuing education registrations and payments; maintain budget; work with other offices/external contacts on remote site/internet courses.
Duties and Responsibilities: Answer, screen and direct visitors, e-mail and phone calls, being responsive to queries, questions, and complaints regarding Continuing Education courses. Word process routine and confidential documents and correspondence.
Assist in the planning, layout and production of publications including brochures, postcards, flyers and ads. Work with the Director on a marketing plan. Maintain computerized and manual files, databases and email list. Produce and send regular emails to mailing list. Manage budget for continuing education department.
Assist in scheduling speakers, negotiating contracts, coordinating rooms, equipment and supply usage for CE programs. Work with co-sponsors and companies to obtain financial support for programs. Work with Informatics to secure remote location and contacts for CE Your Way programs. Work with CE Committee including scheduling meetings and taking minutes. Handle department bulk mailings and process incoming mail.
Process continuing education registration including sending confirmation and attendance letters. Process fees collected including authorizing cred cards; preparing checks; and processing deposits with the Office of the Bursar. Maintain and order office supplies using the MU Dental Store procedures. Train, supervise and evaluate student worker. Perform any and all related duties as required or assigned.
Required Knowledge, Skills, and Abilities: High School education plus two years related experience required. Must possess excellent customer service skills, flexibility, prioritization and organizational skills; ability to organize and maintain manual and electronic filing systems; intermediate knowledge of Microsoft Word, Excel, Outlook and calendar systems; ability to access created networked files, and ability to maintain confidentiality.
Preferred Knowledge, Skills, and Abilities: Must be able to work some early mornings, late evenings and occasional weekends. Some familiarity with the profession of dentistry a plus.
