LEGAL DEPARTMENT – POSITION DESCRIPTION EXECUTIVE ADMINISTRATIVE ASSISTANT Description:This Executive Administrative Assistant (“Assistant”) is an experienced professional who understands the responsibilities of executives and the administrative support they require—experience in supporting legal professionals in a law firm or corporate in-house legal department environment required.This Assistant is comfortable in interacting with corporate executives and directors, is proficient in Microsoft Office, including Word, Excel, Outlook and PowerPoint, and performs day-to-day responsibilities with minimal supervision, exercising independent judgment and maintaining confidentiality. This Assistant maintains a positive professional attitude, understands the requirement for flexibility, and accommodates shifting priorities while representing and supporting their assigned legal group (“Legal Group”) in planning, directing, managing and coordinating administrative aspects of the Company and its subsidiaries. PRINCIPAL DUTIES AND RESPONSIBILITIES: Support the office of the General Counsel and Corporate Securities Group Counsel in planning, directing, managing, and coordinating day-to-day business activities; Interface with executive management and directors of the Company and their administrative assistants and interact and coordinate administrative activities with outside law firms and legal departments; Maintain high-level of proficiency in required software applications:Microsoft WORD, Excel, Outlook and PowerPoint; Serve as point of contact for senior corporate executives and clients; facilitate Legal Group accessibility and communication with all Company staff; Maintain Legal Group calendarsand greet clients and visitors; coordinate meeting and conference schedules for the LegalGroup; and plan and manage Legal Group events; Develop and maintain a contact list for Legal Group business engagements; initiate travel arrangements; and create detailed itineraries; As needed, answer/screen telephone calls; arrange conference calls; and manage call back list; Read, logand route incoming mail on a timely basis and prepare e-mail,correspondence, and outgoing packages anddeliveries, as needed; Compose and formatdocuments including, but not limited to, letters, proposals, charts and summaries; complete applications, agreements, contracts,and license materials, as needed; Create presentations; create and maintain spreadsheets and databases;and maintain,generate, and file reports; Coordinate a variety of resources and obtain information for special projects and assignments; Maintain issue-specific files and ensure all filing systems are updated and maintained on a daily or weekly basis; Prepare, review, and track invoices and expense reports and prepare and coordinate check request processes, including retrievals and deliveries; Purchase and maintain office supplies and materials and maintain stock for Legal Group office equipment; Copy and fax documents, as needed; Support other Legal Executive Administrative Assistants and their Legal Groups when required to accomplish large or time-sensitive tasks or in the event of an absence or vacancy; and Perform other administrative support duties to support the Legal Group as assigned.
