PRIMARY RESPONSIBILITY: Responsible for customer registration and intake process, data entry, database management, general office duties and providing quality customer service, coordination, guidance and training of volunteers assigned to the intake office.

 

EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES

Provides intake and registration services to Food Distribution Center (FDC) customers. Ensures quality assurance within scope of the position for FDC administered grant programs to ensure compliance with donor requirements. Ensures the quality and integrity of the intake and registration process, including: (1) Maintenance of the specialized automated tracking systems, (2) Review of the intake and registration procedures for efficiency and accuracy, (3) Development of intake related forms and procedures, (4) Monitoring intake compliance of donor guidelines and makes necessary revisions. Provides excellent customer service to both external customers, as well as internal volunteers and employees. Facilitates and communicates to supervisor internal and external customer feedback. Provides referral procedures for customers to other community resources Maintains integrity of support documentation and files for FDC administered programs. Produces program-related reports (weekly, daily and/or monthly) that are sourced from the FDC database, inventory system and files in a clear, concise, accurate and timely manner. Implements, collects and records data for customer service satisfaction and other similar FDC surveys. Coordinates intake office volunteer activities including: (1) Monitoring of quality of work, (2) Scheduling of intake volunteers, (3) Evaluating training needs, (4) Developing and utilizing the training plans, (5) Guiding volunteers in proper intake and registration procedures and customer service activities, and (6) Providing feedback regarding volunteer needs to FDC program coordinator. Performs other related duties and responsibilities as required.

REQUIREMENTS

Experience: Three (3) years experience with customer service, office clerical and/or extensive public contact, including experience with volunteer coordination, survey research and intake/registration procedures. One (1) year of relevant work experience working in a comparable food aid agency is preferred. Training: Minimum of an Associates degree in business, behavioral sciences, sociology or an appropriately related field. License or Certificate: Possession of, or ability to obtain, a valid drivers license. Possession of, or ability to obtain, a certification of operation for forklift is preferred. Background Check: Must pass a criminal (CBI) background check. Other: Ability to travel to other facilities.
