WebMD-Summex WebMD Health Services is currently seeking a Facilities Technician for its Portland office. We are seeking an individual who has experience with Space Planning, operating office equipment, performing duties within a mail room and experience with office security. Summary: Assist Facilities Director with any site specific capital expenditure projects, Assist Regional Real Estate Director accordingly relative to site closures; troubleshoot all mechanical systems, work with contractors as necessary; maintain day to day operations; responsible for space planning initiatives-placement & communication of new hired personnel; Monitor all daily for service requests and respond accordingly; Handle all employee relocation requests, update floor plans as necessary; Maintain Security/Access Control Database; Responsible for the Development & Maintaining departmental costs; Assist with all space planning initiatives; Handle Day to Day operations-mailroom, shipping & receiving, copy areas, reception, pantry areas, etc; Handle Office/Systems furniture reconfigurations; Work closely with building management office on all service requests ' Assist with the coordination & completion of Capital Expenditure Projects, works directly with contractors, obtain request for proposals, liaise with project personnel as necessary make cost effective recommendation as necessary ' Work with Regional Facilities Director for all WebMD property site procedures relating to closures, relocations, etc. Responsible for travel to affected sites, coordination of all contractors & vendors; Inventory (furniture/Equipment as needed); termination of all contracts; analysis of space to ensure termination/vacancy conditions as defined by lease ' Monitors the operation of all Heating, Ventilation and Air Conditioning systems (HVAC) & plumbing systems. Oversees all Preventative Maintenance responsibility, troubleshoots, identifies problems and reports accordingly. Provide direction to all vendors/contractors, create Work Orders for repair as necessary; review RFP accordingly ' Assist in the implementation of preventative maintenance contracts ' Responsible for handling of all new hires (employees, contractors, consultants & temporary personnel) into the company. Manage to include the review of floor plans; update of seating spreadsheets/plans; ensure proper placement, ID badge issuance as well as be the point of contact for orientation to the facility for all newly hired personnel, conduct a formal presentation of the facilities services department team for services offered, Works directly with the telecom department to ensure placement of telephone/analog lines; communicates with IT, Technology & telecommunication groups accordingly ' Responsible for review and response to all service requests communicated to the department - responds to all maintenance service requests as reported; Liaise with all contractors & vendors; ensure follow up communication to customers; development of work orders as necessary; ensure proper close out of all service request received; provide quarterly analysis of requests received and maintained ' Responsible for maintaining of Security Database to include monitoring of all CCTV; Programming and issuance of Access Control cards for all employees, contractors, vendors and visitors. Furthermore, assist with maintaining the database to ensure proper deletion of lost or stolen access badges ' Coordinates and communicates all Internal Relocations; works closely with Technology and Telecommunication departments ' Responsible deletion of all access for the termination of all employees, contractors & consultants from the company; ensure retrieval and deactivation of all Access cards from the Security Database ' Knowledgeable of all Emergency Response Policy & Procedure developed for WebMD in an effort to assist in emergency situations that require building evacuation ' Develop & Maintain departmental budgets to include tracking of all expenditures ' Assist with the development & Implementation of all departmental policies & procedures ' Implementation of staff schedules, roles & responsibilities, ' Responsible for Space analysis & planning- maintain of current square footage & personnel headcount ' Assist with all Fire Safety efforts i.e. emergency plan & evacuation ' Handle Day to Day operations-mailroom, shipping & receiving, copy center, reception, ' Handle Office/Systems furniture reconfigurations ' Oversee the installation and maintenance of the Physical Security System ' Supervise the performance of all contractors, vendors & consultants ' Direct & coordinate the administration of all operational requirements within the facility to include, housekeeping, HVAC, electrical systems, grounds maintenance ' Direct the current space utilization and workspace standards ' Knowledge of Federal Express/UPS shipping methods ' Oversee operation/maintenance/inventory of all Copier machines ' Responsible for Review, Processing & approval of all departmental Invoices Minimum Education and Experience: Equivalent of 3 years experience in a maintenance technician or facilities role, with the skills and responsibilities specified.
