DESCRIPTION:
This position is responsible for ensuring that the day to day office needs are met and maintained. This position must communicate well with all levels of employees, customers and vendors. A positive attitude is essential.
Responsibilities:
§ Perform multiple daily walk through of facilities.
Ensure that all equipment is operating properly including: copiers, fax machines, postage machines, coffee makers, microwaves, toaster ovens, fitness center equipment, etc.Heat/air conditioning is set at a comfortable levelMake any physical repairs necessaryReports building repairs to Property Manager.§ Supports multiple offices for all day to day Facilities related matters.
§ Responsible for maintaining appropriate inventories of supplies for all kitchens, lunch room and copy rooms. Set up an inventory tracking system to facilitate ordering supplies to avoid out of stock situations.
§ Review Conference Room schedule on a daily basis, reconfigure conference rooms as needed and make sure that they are cleaned out following meetings. Set-up and return In-focus Projectors as required by user.
§ Assists VP of Facilities and Office Manager with facilities projects and internal employee moves, including telephone moves, changes and programming.
§ Responsible for shipping and receiving packages (Fedex, UPS, couriers, etc.) and delivering to the appropriate department/individual
§ Set up and maintain a file of all service contracts for office equipment. Make repairs if possible, call for maintenance when necessary (copiers, fax machines, coffee makers, postage meter, shredder, etc.)
§ Coordinate recycles pickups.
§ Ensure that all equipment in the Fitness Center is operational and the facility is clean
§ Responsible for Video Conferencing. Acts as a Video Conferencing Subject Matter Expert (SME) for the company including set-up, establishing calls, troubleshooting, and training.
§ Basic installation and programming of the PBX and Voicemail systems.
§ Covers the Front Desk for lunch and breaks as required.
Requirements:
· Strong Organizational and Time Management skills.
· Knowledge of PC, Outlook and Office.
· Self motivated and managed.
· Someone that takes initiative and is proactive.
· Conducts themselves in a professional and business like manner working with all levels of management.
· Requires heavy lifting at times.
· Working knowledge of Polycom Video Conferencing System preferred but not required.
· Working knowledge of Definity PBX and Intuity AUDIX Voice Messaging System preferred but not required.
· Some night and week-end work will be required.
