Nature of Work

This is executive level work in administrative planning and implementation.  Work involves performing a variety of scheduling, budgeting, and other administrative support functions under the direction of an executive level SAA official.  Work involves assisting in the research, development, and implementation of departmental policies and procedures and in preparing a variety of correspondence, reports, and documents.  The incumbent may be called upon to serve as a departmental liaison and to oversee department projects.  This position is distinguished by the complexity, sensitivity, and confidentiality of planning, and may require some expertise and exposure to a professional or technical field.  Work is performed with considerable independent judgment and initiative based on extensive knowledge of rules, regulations, policies, and procedures governing the department, program, or functional area of responsibility.

Examples of Work

●        Manages day-to-day administrative functions of the office including scheduling appointments, coordinating meeting schedules, processing documents and correspondence, and answering calls from customers.

●        Advises and assists as needed to resolve problems regarding management, operational, and administrative functions.

●        Serves as point of contact for information technology activities, including technology repairs, updates, upgrades, and web development; prepares and monitors Office Automation Plan.

●        Conducts research, special studies, and administrative reviews of a sensitive or confidential nature at the direction of the department head; compiles and analyzes data, makes recommendations, and prepares reports on operating and administrative topics; prepares related correspondence.

●        Initiates and manages office budget and procurement actions to support program operations; assists in developing, coordinating, and maintaining contracts.

●        Develops and maintains databases to monitor various programs.

●        Receives requests for information and ensures timely action or response.

●        Interprets office administrative policies and procedures; coordinates administrative activities of the department with other departments and offices.

●        Attends meetings with supervisors and/or directors; records and processes confidential and sensitive information.

●        Performs special assignments and is required to support emergency operations.

Physical Demands and Working Environment

Work is performed in an office environment.  Work is essentially sedentary with occasional walking, standing, bending and safely carrying items less than 25 pounds such as books, papers, small parts, etc., and may require extended periods of computer use.

Minimum Qualifications

Work requires a Bachelor’s Degree and five to eight years of responsible administrative experience; or any combination of education and experience that demonstrates the following knowledge, skills, and abilities:

●        Knowledge of modern office practices, procedures and equipment, including computers and word processors, spreadsheets, presentation and database software.

●        Knowledge of office recordkeeping and reporting.

●        Knowledge of business English, spelling, and business math.

●        Ability to communicate effectively, both orally and in writing.

●        Ability to establish and maintain effective working relationships with other employees and the public.

●        Ability to analyze administrative problems and determine proper solutions or make appropriate recommendations.

●        Ability to analyze proposed policy changes and prepare written recommendations and guidance.

●        Ability to conduct research and oversee special projects.

●        Ability to present factual information to various officials, explain procedures, resolve problems, and effectively coordinate administrative details and logistics.

Licenses, Certification and Other Requirements

Top secret security clearance may be required.
