DescriptionThe Executive Assistant provides administrative support and assistance to the President, is a key partner to the President in managing his schedule and contacts, and the organization’s information. The Executive Assistant also provides administrative, scheduling, and travel support for the Chief of Staff and General Counsel, as well as for executive level meetings, Executive Committee, and Executive Board, and All Staff meetings.
The number of tasks and duties associated with this position is potentially limitless, depending on the specific skill-sets and strengths of the successful candidates and the needs of the organization. Representative tasks and duties include:Summary: This position supports and directly reports to the President.
Communications and scheduling via voice, email and mail with SEIU Healthcare 775NW members and staff, local, state, and national community, business and political leaders, including communications with US Senate and Congressional offices as well as WA and MT State Legislators and Governor’s offices. Perform event and meeting planning and support for staff meetings, retreats, conferences, and other meetings, including all aspects of meeting logistics, turn-out, and preparation, such as scheduling, venue planning and relations, catering, audio visual, travel, materials production (paperless-knowledge of Adobe software essential), and staff support for event. Supports the department in all Executive Board meetings, retreats, and conventions, including but not limited to above event planning requirements, notifying members; maintaining and distributing Executive Board minutes; and maintaining other Executive Board records in accordance with legal requirements. Administrative, office, and clerical support. Including word processing, mail handling, call routing, computer help desk functions, filing and record keeping, drafting correspondence, reports, and presentations, general office management, and personal assistance. Administer & enforce document retention and destruction policies. Orders and maintains supplies for department. Controls administrative functions within the department including expense reports, authorizations, travel requests and changes, leave requests, and books travel for President, Chief of Staff, General Counsel, and 21 member Executive Board. Reconcile department credit card receipts weekly. Administer executive-level and governance-related events on the organization’s master calendar. Occasionally trains other support staff or fills in for other support staff in their absence. A bachelor’s degree, previous work in politics or legislative affairs, experience in organizational change and business process improvement, the ability to speak, read, and write in Spanish, Russian, or Korean, experience with organizational governance, experience with legal correspondence and record-keeping, and experience with the labor movement are all big “plusses,” but are not strict requirements of the position and should not discourage you from applying if you feel that you are an otherwise strong “match”.
This position is full time including evening and weekend work as needed, and is based in Federal Way, WA.
QualificationsGraduation from high school or equivalent, AA degree in administrative sciences and (5) years of previous administrative experience or a combination of education and experience that would provide for the following knowledge, skills and abilities:
• Excellent oral and written communications skills, strong proficiency with writing, editing and proofreading. Thorough knowledge of the correct uses of grammar, spelling and punctuation. Thorough knowledge of modern office procedures, practices, and business writing.
• Ability to: plan, organize and coordinate work; analyze problems, collect data and make sound, logical conclusions; meet established deadlines; maintain a high level of attention to detail; communicate effectively, both orally and in writing; type 65 wpm; maintain a filing system and keep working files; triage information and to determine items that are not necessary for the President to see.
• Skill in computer use including Microsoft Office suite and Sharepoint.
