Description: Job Summary:

The Executive Assistant will be primarily responsible for providing administrative support for the Head of East Coast Customer Service also responsible for the East Coast Customer Service Senior Management team.



Essential Functions:

Manage complex calendar. Schedule and coordinate internal and external meetings, events, interviews, various department meetings, appointments and/or other similar activities.

Meeting minutes and agendas. Assemble required documentation for meetings, conferences, etc. and conduct research for information as needed.

Field calls and direct inquires to appropriate individuals/departments for responses and follow-up on responses.

Read and review all incoming and outgoing e-mails for the purpose of determining necessary action and follow through as required.

Provide administrative support, which includes copying, scanning, maintaining a functional filing system, faxing, drafting letters, and preparing courier packages.

Assign and follow up on tasks from the Head of Customer Operations.

Compose general correspondences that are sometimes confidential in nature.

Submit expense reports and reconcile bank statements for the Head of Customer Operations.

Manage travel expenses and ensure expenses are reimbursed.

Provide solutions or funnel inquiries from internal staff and external inquiries.

Organize and book travel both, domestic and international, as required. Obtain best routes and value for the money. Arrange itinerary and business visits.

Responsible for creating and maintaining organizational charts. Provide timely and accurate updates to charts on a monthly basis.

Develop, maintain, and/or prepare various high-level reports and spreadsheets.

Participate and perform in special projects as requested.

Assist with the department's performance review process by ensuring the deadlines and processes are executed properly.

Assist with Departmental training.

Assist Finance with managing headcount.

Department Liaison for Performance Management forms and Bonus Goal forms with HR.

Assist with HR related tasks as needed

Complete and process all HR forms for department.

Manage recruiting with HR. Ensure open positions are posted internally and externally.

Maintain department Sharepoint sites.

Manage department moves/issues with Facilities.

Manage the office supply ordering process for the department. Qualifications: Experience & Qualifications:

6 years of experience in an administrative role

Advanced Proficiency with Microsoft Office programs

Strong teamwork skills and the willingness to perform tasks at any skill level

Must possess a "take-charge" attitude

Strong communication, analytical, and problem solving skills

Must be able to work independently while managing multiple tasks



Education and/or Certifications:
