EXECUTIVE ASSISTANT TO CEO
Location: Irving – Las Colinas, Texas
This role requires a professional and reliable individual with high standards and integrity to serve as a confidential Executive Assistant to the CEO. Accountable for challenging and complex assignments that require tact, independent judgment and action to support the CEO in a wide variety of areas. Represent the company in a positive way in every aspect of their position with the ability to provide superior customer service and maintain cooperative working relationships. Responsibilities:
Develop a positive rapport with internal and external customers to manage the executive’s schedule
Responsible for assignments which may be confidential and time-sensitive requiring professionalism and a high degree of judgment and initiative
Act as liaison between the CEO and Executive Management Team
Take initiative and find new ways to successfully complete a variety of significant, time-sensitive projects
Coordinate and schedule meetings, multiple projects and activities for CEO and company staff
Organize and plan quarterly Board meetings, committee meetings, regional office meetings, Midyear meeting, Annual Kick Off event, conferences and off-sites
Handle all logistics and administrative issues associated with support of the CEO, including Board meetings, event planning, travel preparation and follow up, CEO briefings, and office management
Work closely with the executive management team to facilitate communication and ensure timely and efficient information flow to and from the Office of the CEO
Organize and lead the quarterly Administrative Professional Team meetings
Manage day-to-day calendar and activities for the CEO and assist in business planning and time management
Create and manage master calendar of events for company, organize community events, and represent CEO on various committees
Prepare presentation materials for high level meetings, conferences, and other high-level events
Draft meeting minutes and monitor various reports submitted to the CEO by Senior Management
Manage and direct work for professional administrative team
Requirements
Bachelor’s degree highly preferred and minimum ten (10) years of executive level administrative experience in a large to medium organization
Requires a high level of organizational skills including experience in meeting and travel planning, research, prioritizing and coordinating schedules and resources on a broad range of tasks
Ability to maintain confidentiality, diplomacy and discretion in all dealings with clients and staff
Ability to prioritize challenges/tasks and effectively and efficiently manage time
Effectively balance multiple priorities by utilizing superior project management skills
Possess highly developed interpersonal skills and communication skills with the capacity to cooperate and build constructive relationships at all levels of interaction, both internal and external to the company
Proactively seek to optimize the CEO's time, making recommendations regarding internal workflow and streamlining company operations
Must have the ability to think strategically, “big picture,” recognizing impact of decisions on the Company and pay attention to details
Must be able to communicate articulately, clearly and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter (sensitivity and timing)
Requires a strong, dynamic working style, collaborator and a team player
Superior project management skills to effectively balance multiple priorities for Administrative Professional Team
Poised and professional attitude with a 24/7 mentality and able to work flexible hours, extended hours, weekends as necessary and also may require limited travel
Ability to exercise good judgment and maintain confidentiality on a wide spectrum of topics and issues for which discretion is required
Strong MS Office skills, a stable professional background, and a polished presentation are vital for this role
