The Executive Assistant will provide direct administrative assistance to the Chief Marketing and Communications Officer (CMO) in the planning and implementation of marketing and communication strategies and projects.
The Executive Assistant will be responsible for fielding and prioritizing inquiries and material requests from internal and external sources and will take action as dictated by CMO.
This includes information gathering, administrative support including answering phones, assisting callers, conveying detailed messages, scheduling meetings, correspondence, travel arrangements, maintaining files, processing expenses for reimbursement, greeting visitors, ordering supplies, making arrangements for events and meetings, drafting letters, preparing reports, and distributing materials.
The Executive Assistant will be expected to edit internal and external communications for multiple projects and publications, including on and off-line newsletters, brochures, guides, advertising and special projects. Composing, editing and formatting documents, reports and presentations.
Requirements:
Bachelor's degree.
10 years' administrative experience working for senior level executives. Experience in Marketing and Communications strongly preferred.
Extremely well organized and efficient, and able to handle a fast paced environment and prioritize projects and requests.
Ability to work efficiently and plan ahead, anticipating issues before they arise.
Excellent writing and editing skills are required, with attention to detail and ability to work within institutional guidelines.
A professional manner in dealing with executives, faculty, consultants, administrative staff, press and the general public, often on sensitive issues.
Ability to work as part of a team and convey a positive and professional attitude.
Good problem solving skills.
Ability to work efficiently under tight deadlines and to handle sensitive and confidential information with discretion.
Ability to accept direction and additional responsibilities, and proactively seek additional work.
Excellent computer skills - Word, Excel and Powerpoint.
