Executive Administrative Assistant/Finance Position Summary/Principle Responsibilities: This highly visible position will provide critical, highly confidential and professional administrative support for Executive Vice President and Chief Financial Officer. Works well with limited supervision. Viewed as key resource within the company and provides general administrative and project support as needed to others as needed. Executive Assistant is expected to be aware of business activities and events as they relate to the Finance and IS departments, as well as major events and activities occurring throughout the corporation. Duties and Responsibilities: Performs general administrative duties for executive across a wide range of activities, including but not limited to, coordinating meetings/appointments, arranging travel, typing, faxing, dictation, shorthand, photocopying, ordering/maintaining supplies, support for major functional meetings, preparing and/or sorting mail, etc. Develops and maintains an effective filing and retrieval system. Accurately maintain contact files current and routinely maintain all organization charts within the company, and especially the Finance and IT functions Completes project work as required, including development of presentations, excel spreadsheets, and training record management. Acts as a conduit of communication to and from a wide range of internal and external constituents. Contacts are frequent within and outside the organization and involve obtaining or providing information on matters of varying importance and may be of a sensitive/confidential nature. Responds to questions and inquiries that may require research and follow-up. Interfaces with members of the Board of Directors and external auditors as needed Direct support for the Investor Relations function Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; and provides guidance to others as necessary regarding proprietary information. Confidential information typically consists of company/division or personnel sensitive information. Anticipates and coordinates projects/assignments, organizes own schedules, and that of others, to meet deadlines. Gathers data and prepares information in preparation of upcoming projects and events, and identifies whatever is necessary to complete projects Creates documents (letters/memos/presentations, etc.) ensuring accurate, logical and timely completion. Provide back-up assistance to the other Executive Committee members and their assistants Work with the Board of Directors and their assistants as needed Maintain flexibility with regard to work hours and changing priorities Manage the company’s athletic tickets to major professional sporting events Restocking kitchen when name appears on the rotation assignment list Makes decisions using independent, sound, rational judgment. Ensures continual development and implementation of business process and office practice improvements for CFO and self. Build Quality into all aspects of their work by maintaining compliance to all quality requirements Minimum Education & Experience: Education: Excellent academic background with outstanding grades. Bachelor’s Degree preferred Work Experience: 15+ years of experience in administrative support positions, with 5+ years of related experience supporting executive corporate leadership in an organization. Experience in supporting a CEO or CFO in a fast paced organization is preferred. Personal Skills/Attributes/Qualifications: Advanced and demonstrated PC skills utilizing a variety of software systems, including but not limited to, Word, Excel, Outlook, and PowerPoint. Experience with Access a plus Intellectual curiosity Advanced administrative skills Impeccable personal appearance and demeanor Short hand a plus Minimum typing skill of 60 wpm with no errors
