Executive Administrator

 

The Nixon Power Services Company Executive Administrator is an integral and highly-visible member of the division Executive Committee responsible for productive and professional management of information, data and communications to/from the Executive Committee; division corporate headquarters PP&E (plant, property, and equipment), including responsibility for division travel and employee training; procurement of office/maintenance supplies, equipment, and facility services vendors; division-wide Sales and Aftermarket data analysis and performance metric reporting; advertising and printed/promotional material; as well as project management and administrative support. Based in Brentwood, TN, the position reports directly to Nixon Power’s President and Chief Executive Officer; interfaces daily with the Vice President, Aftermarket; the Vice President, Sales and the Finance and Accounting staff, and works closely with all division branch and department heads, as well as executives and staff of Geneva Corporation – the division’s parent company.

 

Responsibilities_________________________________

 

Executive Administrator responsibilities include:

 

Information/Data/Communications

 

§         Manage receipt and organization of information submitted by division managers for incorporation into monthly executive report (Nixon Management Letter), creating base draft of document for ExecStaff review, revision, and final submittal to the division President & CEO.

§         Utilizing data from the Vice Presidents of Aftermarket and Sales, develop, publish, and distribute monthly ‘dashboard’ of key market and performance metrics.

§         Compile all data for monthly reporting of Service Sales commissions.

§         Oversee five (5) separate branch Safety Committee schedules, meeting minutes, and output to insure effectiveness, productivity and reporting toward the accomplishment of division safety goals; tracking of near-miss reports and submission to Geneva monthly.

§         Serve as Chairman/Member of the Brentwood Corporate HQ/Nashville Sales & Service Center Safety Committee.

§         Coordinate regular input into The Powerline, Nixon’s intranet-based employee resource, communication, and training medium.

§         Oversee employee I.D. and Security program(s).

 

 ► Corporate Plant/Property/Equipment

 

§         Review and approve invoices for all office supplies; printing; coffee and beverage service; building maintenance, repair and refurbishment; and office furnishings at all division locations. Forward final, approved invoices to Finance and Accounting.

§         Negotiate and manage Nixon plant service for Brentwood (Unique Plants);

Nixon Brentwood and Landscape vendor (YaardVark); and Executive Office Cleaning and Maintenance Services.

§         Arrange travel (air/car rental/hotel); negotiate rates and travel agreements; and prepare travel itineraries for Executives and all traveling Nixon employees.

§         Prepare and submit Travel Expense Reports for Executive T&E.

§         Maintain a “Travel & Events” notebook to include all pertinent data for each trip or event planned, indexed by date, keeping notebook available to President at all times as a resource document.

§         Manage appointments – update Executive Shared Outlook calendars on division Network – in order to maintain up-to-date travel itineraries for the Executive Staff.

§         Assist staff account in reconciling charges made on Corporate American Express account by maintaining copies of any/all charges placed on the account.

§         Schedule all division Sales and Service Training, and GE Zenith Training for technicians, including scheduling, booking air, automobile, and hotel rooms for attendees and sending detailed itineraries to each.

 

 ► Marketing and Promotion

 

§         Receive and approve Yellow Pages renewal listings for all Nixon locations/markets, fax signed renewals to The Marquette Group, forwarding originals to A/P for processing.

§         Develop and maintain printed promotional materials; forms for use in marketing, product, service, parts, rental and construction (installation) service sales; business cards and executive stationary.

§         Maintain printed forms stocks and periodic content reviews for content and accuracy.

§         Interface with printing companies and promotional items vendors regarding division marketing and promotional projects, including the purchase of all marketing materials.

§         Develop PowerPoint presentation materials as needed.

 

 ► Executive Administration

§         Coordinate all logistics for special meetings including Quarterly Management Meetings; Quarterly Financial Review Meetings with Geneva; All-Hands Meetings with Employees; Safety Meetings; and Health and Wellness Meetings – each located at each branch location in the five-state region.

§         Schedule Brentwood office conference rooms.

§         Oversee Brentwood Corporate HQ renovation project.

§         Execute contract negotiation for pricing and acquisition of outside meeting space; catering and meal-service; including restaurant buy-outs/reservations, as needed.

§         Periodic travel within Nixon’s five-state region to attend various meetings, conferences and employee gatherings.

§         On behalf of the President and CEO, order all flowers, and gifts for employees and their respective family members under the special circumstances of marriage, births, illness, awards, and special recognition.

§         Serve as backup to answer incoming telephone lines, if needed.

§         Maintain Executive files.

§         Prepare expense reports.

§         Answer Executive Office telephone lines, if necessary.

§         Distribute mail to the President and CEO.

§         Manage, participate, and/or assist in special projects, as needed.

 

 

Education and experience

 Associate degree required; Bachelor’s degree preferred.
