General Purpose of Job:
Manage the interaction between Sales and Contracts including reviewing worksheets, reviewing inventory, managing mail out contracts, notarizing customer documents, and providing follow up with customers. The Quality Assurance Specialist also assists with all processing duties. Provides professional and Hilton style courteous face-to-face and telephone service for all new HGVC clients in accordance with HGVC’s standards of integrity, quality and service.
Essential Duties and Responsibilities:
Worksheets
Liaison between Sales and Processing for questions on contracts.
Review all worksheets for accuracy and completeness.
Implementing an electronic worksheet and manage various stages of the project.
Answer questions about complex contracts including trusts, corporations, upgrades, etc.
Manages exception process and obtains approval from appropriate parties.
Inventory Control
Run inventory reports in Voice and liaison with business operations for putting inventory on/off hold.
Manage inventory conflicts between offices.
Contracts Processing
Manage overflow and moving contracts to various offices.
Input data and create contract in VOICE.
Prepare mail out contracts.
Charge the $ for contracts.
Assist the client in paying-off their loan prior to closing.
Run closing reports in VOICE.
Create files and manage contracts documents
Split files
Prepare files for transportation for Ena
Customer Service
Notarize contract documents on the sales table and verify the customer information.
Make client copies.
Review signed contract documents for accuracy and completeness.
Additional duties may include performing follow up activities with customers to fix contract issues.
General
Must be able to obtain a notary license with the state of Hawaii.
Possess a professional level of knowledge of both the HGVC legal documents and the HGVClub product.
Possess computer skills including Word, Excel, and generate documents from VOICE system.
Assist with various projects and programs in regards to new clients.
Bilingual (English / Japanese) speaker, reader, and writer are a plus.

Address callers, tour guests, Club Members and team members using language skills acceptable in a business environment.
Manage multiple tasks and assignments and demonstrate strong organizational skills in a fast paced work environment.
Demonstrate excellent verbal and written communication, and interpersonal skills.
Maintain professional appearance and attitude.
Demonstrate basic computer skills in Microsoft Office Word, Excel and Database programs and applications.
High school graduation is required. Two years of college or equal experience in a business or retail environment is preferred.
