We are Searching for an Administrative Assistant from an Architectural Design Office!Our client is an architectural and interior design firm that provides architectural and interior design solutions for luxury hotels, casinos, upscale stores, luxury high-rise condominiums and large-scale, mixed-use developments is seeking an Administrative Assistant. The Administrative Assistant must have some accounting, legal and marketing experience within the architectural design industry.
The Qualifications of the Architectural Administrative Assistant are as Follows:5 plus years experience as an Administrative Assistant with an architectural design firm. Experience with Quickbooks software is a must. Experience with Accounting, legal and marketing in the architectural design industry. Associate's Degree or higher. Excellent written and verbal communication skills a must. Experience with MAC and PC and various Microsoft and architectural design programs. Must be highly organized and able to work in a fast-paced environment. Must understand architectural and interior design terminology.
The Responsibilities of the Architectural Administrative Assistant are as Follows:Perform administrative function to include accounting, legal and marketing duties. Complete assigned duties accurately and within time constraints. Interact with vendors/contractors and Company Executives/management. Produce weekly and monthly performance production reports. Provide the highest level of customer service. Work with invoices, PowerPoint, spreadsheets, etc. Maintain calendar. Provide phone support and call routing. Type correspondence, memos, proposals, routine letters, notes and computer drafts. Send emails and faxes. Organize and maintain copies of correspondence and contracts for general office file system. Coordinate distribution of mail and deliveries within the company's office. Coordinating appointments and meetings. Assist in preparation of proposals and other company documents. Complete projects on-time and with accuracy.
