PRIMARY RESPONSIBILITY: Performs a wide variety of responsible data entry and management support of the assigned department and to provide information and assistance to the public regarding departmental policies and procedures.

 

EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES:

Enter all initial enrollment application data into COPA. Generate monthly reports including the Child and Adult Care Food Program (CACFP) and attendance reports. Maintain COPA data clean by conducting ongoing monitoring of the data and quality checks. Provide all necessary training and Support regarding COPA application to HS staff. Enter Early Screening Inventory scores into COPA. Assist HS staff with data entry support as necessary. Assist Manager in generating accurate reports. Receive, review and maintain Income Eligibility Forms (IEFs). Type, word process and proofread a variety of documents including general correspondence, meeting minutes, agendas, reports, and memoranda from rough draft, recordings, or verbal instruction. Perform a wide variety of general clerical work including the maintenance of accurate and detailed logs and records, verification of accuracy of information, researching of discrepancies, and recording of information. Operate a variety of office equipment including a computer, fax machine and copier; input and retrieve data and text; organize and maintain disc storage and filing. Assist in a variety of department operations; perform special projects and assignments as requested. Organize and maintain filing systems. Maintain high standards of confidentiality. Provide technical support when necessary to ensure photo files on the network are accessible to HS staff. Provide additional general office duties as assigned. Provide daily break and lunch coverage for the front desk receptionist. Answer incoming phone calls, redirect as needed, take messages. Ensure office equipment issues are properly addressed, including scheduling of service and repair. Receive, sort and distribute mail and other incoming and outgoing correspondence. Check paper levels for office equipment daily at the main ACHS office, including copiers, fax machines and printers. Maintain reception area manuals, including the front desk/forms book. Coordinate the programs participation in the ArtReach program, including ordering and picking up of tickets. Order office supplies for all centers after receiving center office supply inventories; maintain supply cabinet. Perform other related duties and responsibilities as required.

REQUIREMENTS

Experience:

Two (2) years of responsible office support experience. Education and Training: High School Diploma or GED equivalent, supplemented by secretarial, bookkeeping, accounting, or clerical course work. College level course work in business administration, computer science, or a related field is desirable. License or Certificate: None. Background Check: Must pass a criminal (CBI) background check. Must also pass an FBI verification and Central Registry check. Other: Must complete physical examination and TB test upon hire.
