POSITION TITLE:                           Customer Service Administrative Specialist

 

FUNCTIONAL AREA:                    Customer Services

 

SUPERVISOR'S TITLE:                Director of Customer Service

 

BASIC FUNCTION:                      Provide administrative support to the Customer Service department that enhances our delivery of on-site services, contract services, and after-market spare parts and repairs.  Provide reporting and operational support for the Customer Service department.

 

Duties/Essential Job Functions:                                                                                        

Invoice sales orders and service orders in a timely fashion with the objective of reducing the time between service completion and invoicing.Enter service order details in the service ERP module, ensuring accurate recording of billable vs. non-billable service.Master the service order entry and fulfillment process to ensure accuracy and timeliness of billing and service reporting.Log, copy, and verify compliance with guidelines for all customer service expense reports.Review, edit, and format field service trip reports and publish to internal groups.Provide assistance with collection of service related invoices.Perform administrative support to the Customer Service department including copying, filing, telephone, etc.Produce monthly reporting that will enable the organization to focus on areas requiring improvement.Back-up Travel Coordinator/Service Dispatcher as well as Spare Parts Specialist as needed.Coordinate customer service vacations and ensure back-up plans are communicated.Perform customer surveys and performance benchmarking for Customer Service.Serve as administrator for customer specific web access to enterprise information database (VIP).Provide back-up for receptionist.Other miscellaneous duties as required.

 

Minimum Qualifications:

Associate degree in business or equivalent work experience.Two years working with service billing and collections process.Demonstrated ability to take ownership for time sensitive objectives.Ability to look at business processes at a high level and develop details to impact effectiveness.Strong organizational skills and ability to manage multiple tasks simultaneously.Excellent interpersonal, verbal, and written communication skills and ability to work with associates at all levels in the organization.Strong PC skills with use of Microsoft Office applications including: Word, Excel, PowerPoint, and Outlook.Ability to influence others to accomplish objectives in support of higher level objectives.
