JOB DESCRIPTION: Reporting to the Director of Major Gifts and the Director of Business Initiatives, this position is responsible for assisting with the administrative, organizational and logistical components of planning and execution of the Chairman’s Council and Young Patrons of Lincoln Center. The Chairman’s Council includes individual donors of $2,500 and up annually, and the Young Patrons of Lincoln Center is a dynamic membership group for donors in their 20s and 30s. Specific responsibilities for the Coordinator position include:
Chairman’s Council
Update and maintain all CC records in the PledgeMaker database Work with IT staff to maintain and build PledgeMaker reports and mailing lists Pull reports and lists as requested Work with major gifts staff on building and managing acquisition lists Coordinate and execute acquisition mailings Plan and execute additional gift appeals Maintain, update and distribute bios before cultivation events Prepare and mail special event save the dates/calendars to members Prepare and coordinate invitation lists for cultivation events Process and acknowledge all new Chairman’s Council gifts
Young Patrons of Lincoln Center
Prep for monthly Steering Committee meetings Includes reserving meeting space, circulating invitations, reminders, agendas, and other materials, arranging catering, and taking RSVPs Draft and circulate meeting minutes promptly Arrange conference calls for chairs and subcommittees Prepare Acknowledgments for new members, renewals, other gifts, and volunteer service Work with IT to maintain and update PledgeMaker records, and pull reports on request Respond to general email and telephone requests/questions Maintain updated electronic and Internet communications with the group (i.e. Facebook, YPLC social networking site, and LCPA webpages) Reconcile accounting for memberships and events Assist special events staff as necessary with events for YPLC Manage printing and distribution of membership materials
REQUIRED QUALIFICATIONS:
Bachelors degree or equivalent combination of education and experience
· Work or internship experience in a dynamic, fast-paced environment
· Excellent administrative, interpersonal, oral and written skills
· Must be extremely organized, detail-oriented and be able to work effectively under pressure
· Must be able to synthesize and organize information
· Proficiency with Word, Excel, Power Point and PledgeMaker (or other database programs) Must be able to manage multiple projects simultaneously Enthusiasm for working with two different managers and interacting with two different groups of Lincoln Center donors Motivated to build bridges between donor groups and find ways for younger donors to engage more deeply with Lincoln Center Genuine interest in planning social events and building relationships
