Job Description:
Coordinates branch construction activities, which includes booking construction jobs, ordering and tracking materials, processing change orders, performing billings and collections and interacting with subcontractors. Coordinates group administrative activities that include timesheets, various forms, administration logs, and financial reports. Executes the master agreement between internal customers, external customers, and management. Collects, reviews, files and maintains documents in a database. Books quoted jobs. Compiles and routes booking packages. Manages the hold file and releases jobs. Orders, tracks, and picks material. Performs monthly closeout activities with Project Managers. Reviews, corrects and processes billing documents. Performs collection calls and resolves unapplied cash, credit memos, and overdue payments. Interacts with Accounts Receivables to resolve issues. Prepares invoices for vendors equipment and subcontractors. Generates subcontractors work order numbers (Purchase orders) for all approved subcontractors. Procures and distributes project prints for vendors, general contractors, etc. Administers mechanical team bookings, change orders, and deductions of projects. Generates and requests certificates of insurance. Coordinates information between Project Managers, Construction Manager and operations team. Requires four years of high school or GED. Requires 1-3 years of warehouse, administrative or other related experience. Knowledge of shipping/receiving procedures strongly preferred. Strong organizational and interpersonal skills.
