Job Description: This construction administrative assistant Position Features: benefits great location team environment Great Pay to $40K Construction industry experience **REQUIRED**. 5+ years experience as an admin assistant It is a small 8 person office. Applicant must know mail merge, Word, and Excel. Looking for someone mature who can type bid documents, contracts, and lift up to about 25 pounds (paperwork). Provides administrative, secretarial and clerical support to assigned staff. Duties include: typing, record-keeping, information collection and reporting, scheduling and miscellaneous other duties as assigned. A. Types and coordinates typing from dictation, longhand and typed originals. Types correspondence, reports, and miscellaneous routine typing. Types proposals, statistical data, and other formal documents as needed. Types bid documents, contracts, change orders, and other job-related legal documents. Heavy use of merge documents. Operates word processing/personal computer equipment--IBM compatible (PC), must know Microsoft Word 6.0; Excel 5.0. B. Organizes and maintains records and record-keeping systems. 1. Organizes and maintains files and filing system for assigned construction projects. 2. Organizes and maintains files and filing systems for other information as needed. 3. Organizes and maintains project-related data. 4. Maintains project directories. C.Collects information, organizes and presents it in proper format for review and action by supervisor or other. 1. Assists in the preparation of bid documents. 2. Assists subcontractors in obtaining bid documents, project drawings, and specifications. 3. Reviews weekly insurance report to verify all subcontractors are current on specific projects. Notifies delinquent subcontractors by letter that insurance certificates are due prior to start of work. D.Schedules meetings and events and makes necessary arrangements. 1. Makes travel, hotel and car arrangements as needed. 2. Sets up meetings for assigned staff as needed. 3. Attends meetings as requested and provides meeting minutes. E.Performs miscellaneous duties as assigned. 1. Distributes mail. 2. Answers and processes telephone calls. 3. Coordinates and performs copying and printing as required, for documents and construction drawings. 4. Performs other miscellaneous duties as requested or assigned.
