Job Title: Accounting/Office Manager

1. Job Description Summary

1.0 The primary function of the Site Accounting Manager is to supervise the administrative staff, keep the financial, administrative and personnel records of the project.

1.1 This Manager shall also provide not only assistance, but accurate and timely reporting of required documents to the Site Director and Project Manager

2. Reporting Relationships:

2.0 Reports to: Site Director/Coordinator

2.2 Reporting to the Position: HR / Payroll Clerk

Secretary/Receptionist

3 Requirements:

3.1 Education:

3.1.1 Required: High School diploma or G.E.D. equivalent.

3.1.2 Preferred: B.S. Accounting or Management

3.1 Licenses:

3.2.1 Required: Valid driver’s license (with own transportation)

3.2.2 Preferred: Notary Public

3.2 Experience:

3.2.1 Required: Minimum of four (4) years experience in construction office, accounting and administrative tasks, including experience with word processing, spreadsheet and accounting software applications.

3.2.2 Preferred: Office management and full bookkeeping experience. Working knowledge of American Contractor.

4 Skills, Knowledge and Abilities:

- Skill, Knowledge and Abilities: The use of analytical and observational skills which demonstrate an ability to organize, track and advise the Site Director of consistent errors or missing item on the paperwork to elevate reoccurring problems. Must be self-motivated, progressive and able to perform basic math with ease. Able to design, read and interpret simple charts and spreadsheets. Computer literate and knowledge of Microsoft Office and Excel.

- Reasoning Ability - Ability to define problems, collect data, establish facts, draw valid conclusions, and find solutions. Ability to apply principles of logical thinking to a wide range intellectual and practical problems and the ability to communicate clearly on technical and business topics in English. Ability to deal with a variety of abstract and concrete variables. Ability to manage a variety of activities simultaneously. Able to deal with a variety of problems involving human nature.

- Language Skills - Ability to communicate and give instructions in a clear and precise style. Ability to read, analyze, and interpret simple documents. Ability to respond effectively to the most sensitive inquiries or complaints from employees. Ability to compose standard letters with proper format, grammar, punctuation, and spelling, using all parts of speech. Ability to represent the company in a professional manner within the community.

4.1 Required:

4.1.1 Able to type fifty (50) wpm on typewriter and keyboard.

4.1.2 Knowledge of computer software applications, especially

American Contractor, word processing and spreadsheets

4.1.3 Mechanical skill requirements are basic and include the ability

to use simple office machinery such as copiers, fax machines and communication devices.

4.1.4 “Common Sense” is a necessary skill. The job requires the

ability to handle numerous tasks simultaneously and the ability to sort priorities appropriately.

4.2 Physical:

4.2.1 Body Positions: Sitting and standing.

4.2.2 Body Movement: Walking; reaching with hands and arms;

bending arms, wrists and fingers; lifting up to ten(10) pounds.

4.2.3 Body Senses: Must have clear vision at 20 inches or less

(corrected OK), and full powers of hearing and speech.

4.3 Mental:

4.3.1 Mathematical ability must be to a business math level with an advanced understanding of double entry bookkeeping principles and accounting practices.

4.3.2 Language requirements include the ability to write and fluently speak English.

5 WORKING CONDITIONS

5.1 The work site office trailers are located in an industrial area, with conditioned heat/air.

5.2 Breaks of ten (10) minutes are taken for every four hours of work, with a thirty (30) minute lunch break.

6 ESSENTIAL FUNCTIONS

6.1 Authority and Responsibilities:

6.1.1 In conjunction with the Site Director, the Site Accounting Manager has the authority necessary to conduct and manage all administrative affairs of the job site. The authority includes:

6.1.2 To plan, coordinate and control office activities

6.1.3 To discipline subordinates reporting directly to this position

6.1.4 To disqualify job applicants based on findings during the pre-employment screening process

6.1.5 To take necessary reasonable action to carry out the responsibilities of the position so long as such action does not deviate from the established company policies and is consistent with sound business judgement.

Similarly, the Site Accounting Manager is responsible to:

6.1.6 Create and maintain a work environment that shows concern for its people as much as for its property, promoting the autonomy and growth of each co-worker to the level of their capability

6.1.7 Supervise the work of subordinates

6.1.8 Orient and coach new employees

6.1.9 Ensure that effective staff development is an ongoing program

6.1.10 Consensually evaluate the performance of subordinates reporting directly to this position four times each year (quarterly)

6.1.11 Process (compile, process and distribute) paperwork to appropriate department and ensure data entry is timely and accurate

6.1.12 Complete assigned Duties and Tasks in a timely and accurate manner.

6.2 DUTIES AND TASKS

6.2.1 Review incoming paperwork for accuracy and decipher labor cost coding with Project Manager for daily payroll entry

6.2.1.1 Sign In/Out

6.2.1.2 Daily Log

6.2.2 Review and report any safety related issues to the Safety Director

6.2.2.1 Lock Out/Tag Out

6.2.2.2 Equipment Inspection Forms

6.2.2.3 Crane Inspection Forms

6.2.2.4 Job Safety Analysis

6.2.3 Mail: Review and disperse

6.2.4 Lists Maintenance: Office Fax, Communications (Customers, Vendors and Suppliers)

6.2.5 Monitor / Order Office

6.2.5.1 Work in conjunction with Site Director, Project Manager and Corporate Accouting Manager to ensure all accounting functions of project are timely and accurate .

6.2.6 Responsible for petty cash and reconciliation and payroll advances

6.2.6.1 Review and update Petty Cash account daily

6.2.7 Other duties as assigned from time to time

6.2.7.1 New duties are to be performed with the same efficiency and

enthusiasm as all routine duties listed above.

6.3 Judgment and Decision Making:

6.3.1 Show good judgment and tact when dealing with employees, customers, and suppliers to achieve company objectives
