Our Corporate Communications group has an immediate opportunity for a Communications Coordinator. This individual will be involved with communications programs that touch West’s customers and employees globally. Other points of contact include suppliers and vendors. The Communications Coordinator is also responsible for the departmental administrative functions described below.
The Communications Coordinator must understand the basic concepts of advertising, public relations and communication processes and be capable of setting up and tracking production schedules for complex projects.
Responsibilities include:
Trade Show Tabletop Exhibits
Organize meetings with marketing managers to review the objectives of the exhibitPerform administrative functions related to the eventPacking and shipping exhibit materialsMay require travel to eventsGlobal Advertising Activities
Send insertion orders and ad materials to the publishersEnsure that profiles, banner ads and other premiums associated with an ad are completed and submitted as scheduledWest Educational Series
Administer scheduling, invitations and logisticsMaintain database of registrants and make follow-up callsNegotiate and organize logistics, meals, meeting roomsAttend event and participate in pre-event set-up and activities on the day of the eventOther Activities
Serve as a member of the annual shareholders’ meeting teamDevelop and produce public relations activities reportsMaintain global events scheduleMaintain global advertising scheduleDistribute and archive trade publicationsSupport PowerPoint presentation developmentGeneral Administrative Responsibilities Include:
Administer the department’s invoices and P-Card transactionsAdminister the department’s databasesAdminister shipping and distribution of sales and marketing materials to internal and external audiencesPurchase office supplies for the departmentHandle incoming and outgoing mail and other correspondenceSchedule meetings, often with senior-level executivesMaintain inventory of sales and investor kitsMaintain various filing systems
Qualified candidates must have a minimum of three years agency, public relations or marketing experience, have excellent proof reading skills, be proficient in Word, Excel and Power Point and be eager to learn other specialized programs.
The candidate must be detail oriented, be a team player and must be able to participate in several projects simultaneously, most of which have firm deadlines.
