Essential Job Functions:

Responsibilities of this position will include:

- Work with KeyBank's lines of business and internal real estate team to identify and manage services, cosmetic refurbishment, and repair & maintenance projects.

 - Manage a team of outsourced technicians and ensure all preventative maintenance and work orders are performed in an effective/efficient manner.

- Manages small projects (typically under $100K with a single vendor).

- Perform semi-annual site inspections detailing the condition of all aspects of the property and provide capital and expense estimates for all maintenance, repairs, cosmetic refurbishment

- Identification of cosmetic refurbishment scope of work at each facility

- Management and maintenance of RECAPP (KeyBank's asset replacement software system)

 - Identification of deferred maintenance and creates both short and long term plans to reduce deferred maintenance

- Submits capital budget requests annually for improvements to maintain the value and appearance of each property utilizing the RECAPP system

- Creates and monitors an operating expense budget for each property

- Interface with Key's business continuity and recovery department, risk management and other business recovery plans to ensure proper policies and procedures are followed.

 - Implementation and on-going management of document destruction programs.

- Vendor management: negotiation, policies, procedures, contracts, RFPs, ensure vendor compliance with MWBE target spending levels.

 - Develop and implement quality programs that support continuous improvement in the management and operations of all properties

 - Manage self-performance and vendor related to all recurring and non-recurring activities including the following: cosmetic refurbishment (interior and exterior); HVAC, plumbing, lighting (interior, exterior, ATM, parking lot), elevator maintenance, janitorial, parking lot maintenance, landscaping, pest control, electrical power systems, UPS and emergency generator maintenance, life safety/fire extinguisher repair and maintenance, fire and smoke alarm systems, signage maintenance, snow removal, bank equipment maintenance, property inspections, kitchen equipment, window washing, trash removal, ETO room maintenance, energy management, environmental issues, ADA compliance, building and zoning compliance, security systems, confidential records destruction, roof and gutters, graffiti removal, interior and exterior repairs, glass work, office furniture repairs and maintenance, etc.

- Assist the Property Manager with the coordination and implementation of all eMACs (moves, adds, changes) and space management

 

Marginal Job Functions:

- Manage the day-to-day operations of a facility portfolio ensuring operations, maintenance and vendor management standards are met in a cost effective and efficient manner. Responsible for overall facility operations, cosmetic appearance (internal and external), improvement projects, technical oversight and fiscal management. Lead a team of third-party technicians responsible for all preventative maintenance and work order completion.

 

Required Skills: Bachelor's degree in business, facility/property management, real estate management or related field; advanced degree preferred and/or professional designation (FMA, RPA, CFM, CPM); 4-6 years of experience in real estate, facilities management/property management preferably with a financial services, service industry, or retail organization; Strong business, organizational and management skills with an emphasis on relationship management; functional and technical skills; customer focused; action oriented; negotiation skills; problem solving capabilities and analytical reasoning; ability to work independently and in teams; solid decision-making ability; leadership abilities coupled with good interpersonal skills; demonstrated ability to manage time and perform multiple tasks simultaneously while affording top priority to business critical issues and agreements; computer proficiency. Must be able to fulfill the physical requirements of facility inspections which include basement, roof, and exterior inspection.
