Description: Kaplan Higher Education is seeking an Associate Manager of Facility Operations to work with all departments and office personnel to provide facilities support and office services support with an emphasis on customer service. This position will support the implementation and maintenance office management systems for our offices located in Chicago, Illinois. - Work with vendors and other managers to efficiently carry out installations, restacks/reconfigurations and relocations - Maintain environment health and safety programs for facilities including procedures for: emergency evacuation, first aid, natural disaster, and any other type of threats - Ensure safety of work practices and procedures of all employees and contract employees to comply with federal, state, and local jurisdictions and laws and OSHA - Provide for facility inspections and checklists, emergency preparedness plans, facility profiles, work order fulfillment, and surveys as appropriate - Address office environment issues and resolve with building management - Research new programs or processes to improve quality/reduce costs for Kaplan Higher Education - Assist in the preparation and presentation of cost efficiency analysis and energy management strategies - Provide on-call operations for emergency needs and after hour escalations - Develop benchmarking criteria for maintenance to track reoccurring repairs The Associate Manager of Facility Operations will: - Ensure Contractors/Vendors are performing per the "Scope of Work" for Janitorial, Floor Care, Vending/Coffee, AV equipment, General Maintenance Contracts and other areas as assigned. - Develop and maintain positive relationships with internal/external customers and facility/operations staff. Communicate with stakeholders in a courteous, positive and professional manner. - Monitor, prioritize, and manage all facility tickets. See that all tickets are closed out in a timely manner. Provide guidance on resolving facility tickets and provide reports on a monthly basis - Conduct building inspections on a regular basis and document findings with the results being improved appearance and building operations - Ensure adherence to facility management processes, polices, and procedures - Ensure mailroom services are completed on a timely and accurate basis - Maintain an accurate inventory of facility supplies - Oversee bi-weekly move activities - Work with internal and external teams on life safety issues - Some weekend and after-hours work may be required. Likely Activities Breakdown: (100%) - Office upkeep and maintenance (50%) - Monitor and work mailroom activity (15%) - Maintain inventory supplies (15%) - Schedule and monitor bi-weekly moves (10%) - Compile weekly and monthly reports and maintenance schedules (5%) - Life safety issues and drills (5%) The Associate Manager of Facility Operations breakdown of activities may vary depending on the current needs of the Department, and at the discretion of the Operations Manager. Experience Required: - Associates Degree preferred - Proven ability to use Microsoft Office programs and to learn other systems - 3+ years of experience in facility management and distribution or related experience Qualifications: Position Requirements /Scope of the Job/ Skills Required: - Customer service focused - Strong analytical and problem resolution abilities - Ability to manage multiple projects concurrently, and work between multiple building locations - Detail and deadline oriented; flexible to rapid change - Highly motivated and must possess the ability to motivate others - Excellent verbal and written communication skills - A drive to learn new things - Knowledge of basic construction, building systems, code requirements, and related criteria - Strong interpersonal, organizational and communications skills - Must be flexible, versatile and able to successfully cooperate with all levels of staff and vendors - Ability to lift 50 lbs.
