SUMMARY/GENERAL DESCRIPTION OF JOB:

Responsible for performing a variety of clerical and administrative duties which require confidentiality in compliance with government, corporate, and management directives. 

ESSENTIAL DUTIES & JOB FUNCTIONS:

·         Perform a variety of secretarial/clerical duties, including the preparation of correspondence, reports, budgets and data entry for admission and placement.  Receive telephone calls and visitors, refer them to proper resources.  Check voice mail daily and update recording.  Check office e-mail, receive and distribute mail daily.  Provide technical assistance on all computers, postage machine, fax machine, copier printers, telephones and other office equipment.

·         Maintain calendar of daily events, schedules, travel arrangements, appointments, outreach trips and career/job fairs.  Coordinate meeting arrangements such as time, place, attendees and gather required materials. 

·         Maintain correspondence control logs, file cabinets, prepare monthly reports and submit time cards.  Create and maintain files.  Handle mass mailings for the department.   

·         Maintain central library of required DOL documents, videos, directives and Center operation procedures.  Aid in the development of new and revised Center operation procedures and desk procedures. 

·         Budget for, inventory and purchase:  new office equipment, office and kitchen supplies.  Maintain petty cash and files.

·         Maintain confidentiality of student and staff records.  Send out applications and counselor packets.  Follow up with phone calls and postcards.  Schedule appointments as needed.   Place ads with Alaska newspapers and other agencies as needed.

·         Keep student desk, conference room, stockroom, copy room, reception area and employability room neat and organized. 

·         Coordinate and train student aides. 

·         Communicate basic requirements of Job Corps eligibility to urban and rural youth, youth influencers (parents, elders, teachers, counselors, etc.), and potential future employers.

·         Assist in weekly orientation at the OA Office in Anchorage.

·         Assist supervisor in contacting One Stops or Job Service agencies in rural and urban communities to establish interagency relationships and improve the level of service provided by all agencies involved.

·         Maintain accountability of students and property; adhere to safety practices.

·         Cultivate and maintain a climate on Center which is free of harassment, intimidation, and disrespect to provide a safe place for staff and students to work and learn.

·         Promote student attainment of career success standards through modeling appropriate skills, mentoring students, monitoring skill acquisition and intervening when inappropriate behavior is observed.

·         Perform all other duties as requested.

 

MINIMUM QUALIFICATIONS:

·         High school diploma or general equivalency diploma (GED); two (2) years secretarial or clerical experience.

·         Must have a valid Alaska driver’s license, with an acceptable driving record.

Preferred:Associate's degree or equivalent from a two-year college or technical school in related field. KNOWLEDGE,  SKILLS AND ABILITIES:

·         Computer skills in word processing and databases.

·         Ability to work occasional week-ends and evenings

·         Ability to occasionally lift up to 35 lbs.

·         Organizational skills essential; ability to handle multiple tasks concurrently.

·         Ability to develop rapport and positive working relationships with all departments.

·         Ability to maintain professional appearance and work presentation.

·         Ability to work as a member of a team of individuals working toward a common goal.

·         Ability to successfully complete all mandated training requirements per government and management directives.

·         Ability to meet attendance requirements for the position.
