Under general direction, performs diverse and complex secretarial and administrative duties, including confidential activities, for Cardmember Assistance (CMA) Strategy.

PRINCIPAL RESPONSIBILITIES AND DUTIES:
Managing the Director(s) schedule including arranging meetings, scheduling appointments, and following up with all levels to ensure accuracy of the calendar
Assisting with the arranging and coordinating of conferences for CMA, dinners and lunches, and other special events
Coordinating travel arrangements; and managing the Strategy department calendar.
Answers telephones, takes messages, forwards information to appropriate personnel.
Screens calls, redirecting calls to subordinate managers or staff.
Handles Audix and e-mail as needed. Opens, sort and distributes mail.
Sends outgoing mail using appropriate mail service.
Distributes requests for information, tracks progress and follows up on actions taken.
Orders office supplies.
Sorts and files correspondence and other documents in filing system.
Completes typing and word processing assignments that may be of a confidential nature and include correspondence, forms, tables, proposals, and somewhat complex reports, using proper grammar and punctuation.
Operates office equipment such as, computer software packages, fax machines and photocopiers to complete assignments.
Updates manuals, reports and spreadsheets.
May take notes during meetings and produce minutes. Tracks and enters Time and Attendance.
Actively participates in orienting and assuring training for new unit members.
Arranges meetings and schedules appointments and follows up with all levels to ensure accuracy of executive's calendar.
Arranges and coordinates large conferences, special dinners and/or lunches.
Coordinates travel arrangements.
May provide guidance and direction to lower level administrative assistants.
Coordinates internal moves and office reconfigurations for department, including new employee set up for phone, PC, furniture and supplies.
Tracks department budget and reconcile questionable charges by completing voucher requests and reclassifications. Takes complete ownership of specific, ongoing projects, independent of manager.
Uses initiative to ensure matters pending response of Director and Managers are completed in a timely fashion. SKILLS Required: Skills Required:
High school diploma or equivalent
Three or more years secretarial experience.
Typing skills
Business knowledge which includes knowledge of organizational policies and general business procedures.
Proficiency in Microsoft Office, including PowerPoint (intermediate level)
Good verbal, written communication and interpersonal skills. Desired: Functional knowledge of Microsoft Visio and Project Click here to apply:
