Mercer is currently hiring an Administrative Assistant to provide support to an individual or group via in-depth knowledge of administrative procedures and tools required. This person demonstrates a basic understanding of the business service area, clients, key terms, and service offerings. Handle sensitive information with professionalism and integrity while communicating openly and often among team members and continually striving to promote smooth workflow and ensure client needs are met.
Responsibilities include, but not limited to, the following: Manage consultants’ calendar; schedule meetings (i.e. quarterly reviews, project meetings, internal and external client focused). Schedule travel arrangements; manage travel expense reimbursement in a timely manner, complete time entry, as applicable. Consistently exhibit professionalism and diplomacy in all interactions with internal and external contacts Complete project assignments in a manner that meets deadlines & specifications Coordinate production of documents using available resources. Peer review samples before final document production/distribution and ensure quality control of final product. Manage outgoing mail, overnight shipments and other deliverables to clients, vendors or internal recipients. Contribute to accurate client/project budget management through accurate and prompt time entry. Assist team with a variety of administrative tasks as assigned. Establish routine tasks that become AA responsibility on an on-going basis. Prepare presentations and client deliverables, sometimes under short timeframes, using Power Point, Word and Excel Microsoft tools. This includes, creation, editing, quality control, and finalization of client-related documents Ensure consultant contacts are up-to-date on the M-Drive and/or other client databases. Maintain files, vendor contacts, libraries, and databases (business development, work flow, and work quality) for the business and in conjunction with IRC standards. Assist with drafting/development of engagement letters/proposals, including gathering client-specific data and other pertinent information adhering to established guidelines Answer and field client calls; provide phone coverage Exercise judgment and make decisions to promote smooth workflow in the team and ensure that client demands are met Keep team members timely informed of information and statuses that affects workflow and service delivery
Five to seven years of administrative assistant experience In-depth knowledge of the administrative procedures and tools required to support an individual or group Strong working knowledge of Microsoft Office Tools, specifically Outlook, Word, Excel and PowerPoint Strong organizational and project tracking skills with attention to detail and proficiency with numbers Ability to work well under pressure, juggle and prioritize multiple projects and tasks (client and office-related) and work efficiently against deadlines Demonstrate problem solving and judgment capabilities Excellent oral and written communication skills Excellent quality and proofreading skills Willingness to learn and adapt to new responsibilities Experience in a consulting environment preferred
