We are currently looking for an Administrative Assistant to join our Moorhead, Minnesota campus.
Main Responsibilities:
Courteously greets students, faculty, staff, and the general public to determine their needs to assist or direct them as appropriate. Answers and refers calls received in multi-line system to the appropriate person or department to ensure accurate and timely communications are facilitated. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other administrative personnel to ensure phone coverage during breaks, lunch, or absences. Acts as central communications for campus by (in addition to above) disseminating student announcements/e-letters, scheduling appointments as needed, distributing mail, and communicating campus needs with various vendors. Inputs into CLASS and maintains all new student data/files, schedules, status changes/hold codes, change of address information, inquiries, student attendance, grades, credit transfers and other student related data updates. Complies with student file compliance/audit responsibilities and keeps student files current on a regular basis, including closing out files for drops, graduates, and completers. Orders transcripts and responds to all transcript requests in a timely manner. Enters pre-test and post-test STEP scores into CLASS. Mails acceptance and orientation letters, surveys and various other mailings. Keeps accurate inventory of equipment and supplies; orders supplies as needed. Maintains responsibility for general administrative support of the college to ensure accurate recordkeeping. Provides limited technical support for office equipment including scheduling maintenance when needed. Prepares weekly, quarterly and annual reports as needed. Communicates with other administrative assistant(s) and campus staff relaying information on pending or upcoming items requiring attention. Communicates regularly with campus director apprising and alerting them of prospective and current student interactions to establish processes for addressing questions and concerns. Locks/Unlocks building as needed. May be required to work occasional additional hours outside of scheduled shift.
Qualifications:
Minimum of one to three years of relevant experience and/or training, or equivalent combination of education and administrative assistant experience, preferably in a customer service or a postsecondary education environment. Moderate typing ability required. Must be proficient in Microsoft Office Suite, with an emphasis on Outlook, Word, Excel, and Power Point. Experience with CLASS preferred. Must have good command of the English language, in both oral and written form. Must be able to work in a fast-paced, high client contact area. HS diploma or equivalent (GED).
