The Administrative Assistant is responsible for assisting the Director of Research and Development and the R&D departmental staff in performing general administrative duties. Duties include administrative support functions including typing, copying filing, coordinating travel management, handling telephone communication, and the completing of special projects with a strong attention to detail. All duties will be performed in a professional, diplomatic manner and with a positive attitude and behavior. Individual must discreetly handle very confidential matters. Must be able to manage and prioritize multiple tasks and take direction from multiple superiors. There will be a high level of internal customer service activities with various internal departments, including finance, human resources, product management, as well as outside vendors.
Specific Responsibilities:General office duties including, typing correspondence, memos, and other documents, photocopying and distributing of various literature, faxing, and filing including both hard copy and digital files. Create purchase requisitions; obtain appropriate approvals, track PO’s, and receipt. Responsible for collecting labor hours and tracking office and project expenses, verify proper allocation to financial charge codes, and prepare reports. Track budgets for all departments within the R&D offices, verify proper allocation of financial charge codes, verify against data from corporate offices. Report and resolve discrepancies between R&D expense log and corporate office figures. Compile, obtain signatures and submit weekly expense reports, Amex and others. Track and record all software, hardware license and maintenance agreements and renewals. Arrange and adjust company travel following Belkin travel policy. Make necessary changes to itineraries during travel. Receptionist duties for the R&D offices. Includes answering phones, and greeting visitors. Act as liaison between R&D and Corporate Office Human Resource department. Assist managers with posting jobs, scheduling interviews, and collecting hiring documentation. Assist in creating various R&D reports and other special projects, as requested Provides support with project tracking (MS Project) for R&D department managers. Arrange for maintenance and repairs of the office facilities. Maintain petty cash and applicable records. Maintain and order departmental supplies. Record meeting minutes. Maintain employee “Out of office” calendar. Coordinate office functions, events and holiday plans.
Education and Experience Requirements:Education: High school diploma or the equivalent. Experience: Three to five years experience in a similar position. Skills: Excellent verbal and written communication skills and proficiency with Microsoft Office computer programs such as Word, Excel, and Outlook, are required.
