We are recruiting an Administrative Assistant to join our Health Services Division. Summary: Provides administrative support by scheduling appointments, creating agendas, developing and maintaining filing systems, making travel arrangements, preparing and altering communications including written and visual presentations, screening phone calls and visitors, processing expense reports, reviewing all mail and noting action items/deadlines, handling routine correspondence, monitoring office supplies and reorder as needed, and assisting with maintenance of department budget. Essential Functions: Reads and routes incoming mail. Prepares outgoing mail and correspondence, including e-mail and faxes. Composes and types routine correspondence. Organizes and maintains file systems for correspondence and other records. Answers and screens telephone calls and arranges conference calls. Coordinates schedules and makes appointments for the Department. Greets scheduled visitors and conducts to appropriate areas or person. Arranges and coordinates travel schedules and reservations. Conducts research and compiles and types statistical reports. Creates and maintains databases as assigned. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities and meeting areas, and records and transcribes minutes of meetings. Make copies of correspondence or other printed materials. Orders and maintains supplies, and arranges for equipment maintenance. Reviews expense accounts and vouchers and routes for payment. Assist with maintenance of departmental budget. Knowledge/Skills/Abilities: Proficient computer skills, including the Microsoft Office programs. Strong interpersonal and organizational skills. Proficient typing skills of 45 WPM. Comfort level with Internet and e-mail services. Ability to self direct and self pace. Pays close attention to detail. Ability to work well with others in a team environment. Multi-task oriented. Qualifications: High School Diploma or equivalent. 1-2 years administrative or secretarial experience preferably in a large corporate environment. Intermediate to advanced knowledge of Microsoft Excel.
