Description: This qualified person will support 4 people within Neuroscience WW Commercial Development with the following responsibilities:
- Provide full-range of administrative support to include: open, review, and route mail, replying to routine correspondence; organize and maintain calendars; schedule meetings (face-to-face, telecon, videocon, NetMeeting and Live Meeting); provide phone screening and coverage; arrange for visitor passes and access.
- Prepare and edit reports and presentations using Microsoft Office software
- Coordinate travel arrangements; prepare itineraries
- Maintain knowledge of Pfizers Compliance policies and ensure that all travel arrangements, expense reports and Pegasus projects are processed according to policy
- Prepare expense reports, track reimbursements and ensure correct AMEX credits/debits.
- Provide project management assistance when necessary.
- Expedite flow of work, and initiate follow-up when necessary, particularly when supervisors are traveling.
- Prepare Project Estimates and handle coordination of PE requests, ensure proper invoice routing and tracking
- Prepare, copy, route, and track Review Committee documents and maintain RC calendar
- Order supplies, equipment and other such purchases
- Set up and maintain project and general correspondence files.
- Assist with special projects including budget management
- Serve as back-up administrative support for other Neuroscience WWCD colleagues in the absence of their Administrative Assistant
- Share general Administrative Assistant responsibilities with other Admins.
- Provide on-site support for colleagues visiting from other Pfizer locations Qualifications: - Previous experience that demonstrates ability to carry out administrative functions proficiently and to complete quality work on a timely basis
- Strong organizational skills with a proven ability to prioritize and work independently
- Excellent communication skills with an ability to respond with professionalism including written e-mail messages
- Ability to work in a team environment and share workload routinely with other administrative support
- Proficiency with Outlook is required, as is a strong working knowledge of Microsoft Word, Excel, and PowerPoint
- Proficiency in required software and Pfizer systems (e.g., PEGASUS, GCE, Computron)
- Ability to communicate and work effectively with all levels of management
- Responsible self-starter with attention to detail
- Demonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities and take initiative
- Excellent typing and proofreading skills
