The Central Ohio Transit Authority (COTA) is positioned at the beginning of a new era for transit in central Ohio.   In November, 2006 the voters of central Ohio approved a 10-year renewable sales and use tax levy.  COTA will begin receiving the additional revenue in April, 2008.  This community support will make it possible to put COTA's Long-Range Transit Plan into action.   Working closely with the community, COTA will implement its ambitious plan to build an effective and responsive transit system for a growing region.

 

We are looking for an Administrative Assistant II, who will be responsible for providing comprehensive clerical and administrative support to the Vice President of Operations.

 

Basic responsibilities:

 

·       Serves as liaison for the VP of Operations providing good customer service and maintaining frequent interaction with the VP's direct reports, Division staff, represented employees, Board Members, government officials, and the public.

 

·       Disseminates executive delegations and decisions to staff.  Develops correspondence, presentations, meeting materials, reports, statistical analyses, employee recognition, and Division surveys.  Develops customer service strategies and techniques.  Oversees reports to ensure conformity with deadlines/standards.  Manages tracking reports and grievance logs.

 

·       Coordinates travel for the VP. and assists with travel authorization and business expense reimbursement forms.

 

·       Prepares the agenda for the monthly meeting.  Reviews/edits support documentation for all Division resolutions.

 

·       Monitors the budget and expenditures.

 

·       Performs daily activities, including monitoring the VP's mail, filing, scheduling meetings, and responding on behalf of the VP, when applicable.

 

·       Provides monthly back-up support for the receptionist and performs other duties as assigned.

 

Qualified candidates must have 3-5 years progressively responsible clerical and administrative experience at the executive level; have excellent verbal and written communication, spelling and grammar, and proof-reading skills; must be able to compose correspondence; must be proficient at standard office practices and procedures, current office technologies, and have the ability to type 60-80 wpm.; knowledge of and experience in MS Office is required (including, Excel and PowerPoint); must maintain the highest level of confidentiality and be team-oriented; must be able to work independently and follow-through on projects in a timely manner.
