Position Description:
The Distribution Center, located in Auburn, Washington has an opening for an Administrative Assistant II. Shift: 8 am – 4:30 pm, Monday – Friday, overtime (as needed). This is a non-union, full-time assignment KEY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO: Ability to multi-task projects Meet due dates and deadlines Prepare confidential period and quarterly financial reports in Safeway’s preferred reporting format Phones, Reception coverage UPS, DHL & Fed Ex receipts and shipments tracking Filing Timely and accurate bill coding and filing Maintain neat and orderly work areas as outlined in Safeway’s Lean Distribution Preferred Methods Employment application and addendum tracking Prepare monthly new hire report Manage new hire process: Pre-screen applications and forward screened applications to warehouse managers. Manage pre-employment testing (Physical Agility testing, background and drug testing) results. Research confidential information regarding grievances filed by the union and confers with manager on findings. Organize staff and corporate meetings Voice equipment usage and repair tracking Schedule Backhaul appointments Union correspondence tracking and filing (Corrective Action, etc) ID Badge replacement and issuing visitor badges DC parking stickers Sorting and processing company and USPS mail Ordering DC admin office supplies and maintaining proper inventory levels Submit Seattle Division DC exempt and non-exempt vacation, sick leave, floaters weekly QUALIFICATIONS: Maintain strong degree of rapport with Division Staff, Corporate Staff, Vendors, and retail stores High degree of customer focus Proficient in Microsoft Office: Excel, Word, PowerPoint, Outlook Calendar, and NetMeeting, Access preferred Professional attire and appearance Dependability is essential. Must maintain an acceptable attendance record Highly organized and detail oriented Strong interpersonal skills Self motivated High degree of confidentiality Other duties as assigned
