OPPORTUNITY: The role of the Administrative Assistant I is vital to the efficient functioning of Rincon. This position is responsible to administratively assist the Gaming Commission operational needs including but not limited to, shipping and receiving office supplies and sensitive items, office inventory, and other needs requested by Commission staff. that will ensure customer satisfaction, and the ability to provide effective and consistent support to the internal departments
JOB QUALIFICATIONS: Two (2) years of general office, personnel administration, or any equivalent combination of training and experience. Must have excellent customer service skills. LICENSES OR CERTIFICATIONS: Valid driver's license, Notary Public (preferred)
JOB RESPONSIBILITIES:
1. Act as a receptionist for the Gaming Commission to include answering phones, taking messages, and secretarial support for all Gaming Commission staff.
2. Contact company personnel at all organizational levels to gather information and prepare reports/recommendations for action by superior. Determine method of research, data and information requirements as well as analysis techniques.
3. Order and maintain accounting/inventory/maintenance of all supplies and equipment for Gaming Commission Departments.
4. Ensure employee applications are complete. Confirm/clarify gaps in employment and residence, confirm phone numbers, completion of 2nd half of applications for key employees, assist prospective employees with the completion of application as times permits. Make sure applications have been notarized, and if not, notarize. Maintain applicant log. Responsible for all invoicing aspects involved with applicant's background investigation process.
5. Process all incoming and outgoing mail, to include U.S. mail, overnight mail and parcels. Also responsible for purchasing and tracking postage use.
6. Prepare and file daily, monthly, and quarterly exception reports, signature cards and other recurring Audit reports.
7. Prepare and distribute RGC's quarterly staff newsletter.
8. Maintain email account for tgcreports. Open, save and distribute daily recurring reports as needed.
9. Perform special assignments directly related to the management policies or general business operations. Customarily and regularly exercises discretion and independent judgment.
OTHER DUTIES
1. Notarize all Gaming related documents and applications as needed.
2. Maintain daily and monthly computer backup tapes.
3. Assist Executive Assistant with special projects and tasks.
4. Maintain seminar notification board for staff reference.
